Appointment Types

Appointments are the services admin users can set up in the Calendar option.

Within the appointment, you can define

  • Individual or group appointments

  • Length of the appointment

  • Individual or multi-coach appointment types

  • Contact type such as video call, zoom, phone call, etc.

After creating an appointment type, users begin the scheduling process by choosing which appointment type they want to book. For more information, refer to this page.

This guide reviews how to use multi-coach appointments, add, edit, and delete appointment types.

Appointment types

There are two appointment types concepts

Coach Appointments

Individual

A coach has an appointment with one or more members (also called group appointments). The availability of this appointment type is based on the user’s assigned coach.

If the user doesn’t have an assigned coach, then the appointment is assigned to a default coach.

Example:

A user has a credit for a “30 min coaching call”. Then, this user selects the“30 min coaching call” option and checks the availability of his assigned coach. Once the user selects a time, the appointment is scheduled with his coach.

Note: If the user doesn’t have an assigned coach, then the meeting is assigned to the default coach set in the appointment type.

Multi-coach Appointments

Collective

All coaches need to participate in the call. The availability is based on when everyone is available.

Example:

A user has a credit for an “advanced lab test review call”. Then, this user selects the “advanced lab test review call” option and checks the common availability of all the three coaches that need to be a part of this meeting. Once the user selects a time, the appointment is scheduled with all the coaches. Therefore, the meeting appears in all three coach’s calendars, enabling the user to see all the participants in the meeting.

Round Robin

A single coach (first available coach) needs to participate in the call. The availability is based on when anyone is available.

Example:

A user has a credit for a “welcome call”. Then, this user selects the welcome call option and checks the availability of “any available coach” set to the welcome call appointment type. Once the user selects a time, the appointment is scheduled with the first available coach. Therefore, the meeting appears in a coach’s calendar, enabling the user to see his coach for the meeting.

Add a new appointment type

To add a new appointment type, click on the Add new type option:

Fill in the information displayed in the following modal panel:

Where:

  • Name of the appointment type

  • Group Appointment. Mark the checkbox if group appointments are allowed. If so, the number of members must be selected:

  • Length of the appointment expressed in minutes:

  • Select Coaches: Depending on the appointment type, select one or more coaches who will participate in the call.

  • Select Type: Select the appointment type

- Individual: Select just one coach

- Collective: Select one or more coaches who will attend the call

- Round Robin: Select one or more coaches. The first one available will attend the call.

  • Contact Type listed when an appointment is created.

Click on the Save Appointment type button to create the appointment.

Finally, the new appointment type will be listed when booking an appointment:

Edit an Appointment Type

Edit the desired information displayed on the following window:

Click on the Save appointment type button to save the information.

Delete an appointment type

The following confirmation window is displayed:
